Using Coverage Security

Through permissions assigned to a user's role, you can restrict the vehicle information users can view to just the vehicles in coverage groups they are a member of.

The MISC permission, Can see data for all assets, controls whether a coverage member sees only information for the authorized vehicles or for all vehicles.
  • To use coverage security and restrict user access, leave the permission unchecked.
  • To allow users unrestricted access to data for all vehicles, check the permission.

You can also use global groups to associate users with vehicles. A vehicle can be a member of only one coverage, and can be in any number of global groups. A user can be a member of any number of coverages and global groups. A user assigned to multiple coverages and/or global groups can select which group(s) to view.

To grant a restricted user access to driver information, such as the drivers of the vehicles in his/her coverage group, you must use a global group. If you are not using global groups to establish your organizational hierarchy, it is not necessary to add the vehicles in the user's coverage to the global group. You must include the users in the coverage and the drivers you want them to access.

If you are using global groups to establish organizational hierarchy, then you must add both vehicles and drivers to the global group. Ensure that you change membership of users and assets in the global group whenever you update a coverage group. For example, if you install new mobile units you will assign a coverage to those units. You need to add the vehicles to the global group for the newly-assigned coverage group.

When access is limited to the coverage group, the user has access to:
  • Dashboard: Total vehicles number includes only authorized vehicles. Unseen Messages list contains just information from vehicles in your coverage groups. Map shows authorized vehicle locations.
  • Vehicles and Vehicle Setup: Lists authorized vehicles only. If granted permission to ping the vehicle, the ability applies only to authorized vehicles.
  • Position History page and report: Only available for authorized vehicles.
  • Proximity Query and Historical Proximity report: Only lists/allows authorized vehicles.
  • Messages: Only displays information to/from authorized vehicles. Can only send messages to authorized vehicles. Other permissions (for example, "Can send messages to fleet") may allow sending messages to vehicles not authorized. Can only claim or delete messages for authorized vehicles.
  • GeoServices (landmarks): Vehicle inventory counts only include authorized vehicles.

Other QTRACS permissions govern whether some of the pages/functions listed above are available to the user, including: Can set up vehicles; Can ping vehicle; any of the Messages permissions.
